The problem it solves: Instaroll already collapsed the payroll run into a single continuous flow – one place to review pay, one action to finalise it. But once a run was approved or closed, the Actions tab still held you back in a few specific ways.
You couldn’t send payslips to an outbound integration after a run had closed; the closed state blocked it, which made a legitimate late or repeat transmission impossible. Bank files mapped to the default payments group could only be produced automatically on approval – unlike statutory files, you couldn’t generate or regenerate them manually beforehand to check them first. Downloading a run’s reports meant fetching one file at a time. And the daily scheduler that auto-closes a run ran at 01:00 UTC, so a run dated today could close in the early hours – leaving almost no time for pay-date-day activities.
What we built: Four enhancements to the Instaroll Actions tab and the run lifecycle that give you more control after approval – without changing how payroll is calculated or how approval gating works. You can now send payslips to an outbound integration even after a run is closed; generate and regenerate default-payments-group bank files manually before approval, the same way statutory files already work; download a whole run’s reports as a single ZIP; and keep the full pay date before a run auto-closes, now that the scheduler runs at 23:00 UTC.
What this means for your team
Handle late and repeat payslips cleanly
Send or re-send payslips to a client integration even after the period has closed, without reopening it.
Check bank files before you commit
Produce and review default-payments-group bank files ahead of approval, instead of only seeing them generated at approval.
Fewer clicks at the end of a run
Collect a run’s reports in one archive instead of downloading them one by one.
Keep your pay date
A same-day run is no longer closed in the early hours – you get the full day for pay-date activities.
What’s new in detail
Send payslips to an outbound integration after close. Previously the closed state blocked payslip transmission to outbound integrations, making a legitimate late or repeat send impossible. Now, as long as payslips are generated, Send to integration works on a closed run – so you can re-send or send late payslips to a client integration even after the period has closed. End-to-end transmission is enforced.
Generate bank files before approval. Bank files mapped to the default payments group could only be produced automatically on approval – unlike statutory files, which you could prepare manually in advance. You can now generate and regenerate those bank files manually before approval, check them, and proceed with confidence. Auto-generation on approval is unchanged.
Download a run’s reports as a single ZIP. On the Actions tab you could multi-select reports to generate or regenerate, but downloading still meant one file at a time, and Download all fetched files individually. You can now select multiple reports and download them as a single ZIP, and Download all uses the same bundled download – so you collect a run’s reports in one archive. Payslips aren’t included; payment reports aren’t selectable.
A later auto-close leaves you the full pay date. The scheduler that auto-closes a run on or after its pay date ran at 01:00 UTC, so a run dated today could be closed as early as 01:00 UTC – leaving little time for pay-date-day activities. It now runs at 23:00 UTC daily. The pay-date identification and the approved-state gating are unchanged; you simply get the full day to complete pay-date activities before a run auto-closes.
At a glance
| Change | Before | Now |
|---|---|---|
| Payslips to outbound integration | Blocked once the run was closed | Send / re-send on a closed run (if payslips generated) |
| Default-payments-group bank files | Auto-generated on approval only | Generate / regenerate manually before approval too |
| Downloading run reports | One file at a time | Multiple reports as a single ZIP |
| Daily auto-close | 01:00 UTC | 23:00 UTC |
Important to know before activation
Calculation and approval gating are unchanged. These changes affect what you can do on the Actions tab and when a run auto-closes – not how payroll is calculated or how approval works.
ZIP scope. The single-ZIP download covers selectable run reports; payslips are not included and payment reports are not selectable.
Auto-close timing. The daily auto-close now runs at 23:00 UTC. Pay-date identification and the approved-and-locked requirement for closure are unchanged.
