All Employee Requests, One Screen. Finally.

Leave, Benefits & Expenses, Timesheet, and Document requests now live in one Workflow Requests screen inside the Payroll Admin Console. Filter by status and type, search by employee, and export any view to Excel — all with a consistent layout.

The problem it solves: Checking on employee requests used to mean switching between four separate modules – Leave in one place, Benefits & Expenses in another, Timesheet somewhere else, Documents in a fourth. Each with its own filters, its own layout, and its own export flow. For payroll admins and managers who handle requests across all four every day, that meant repeat logins, repeat filters, and a lot of tab-switching just to answer one basic question – “What’s still pending?”

What we built: A new Workflow Requests screen inside the Payroll Admin Console that brings Leave, Benefits & Expenses, Timesheet, and Document requests into a single unified view. Filter by status, filter by type, search by employee, and export any view to Excel – all from one place, all with a consistent layout.

How it works

The new Workflow Requests item lives in the PAC sidebar, near the bottom of the menu next to Documents and Settings. It opens on the Leave tab by default, showing the current month.

Each tab remembers its own filters and period independently.

What you can do on each tab

Period selectionEvery tab has a period selector at the top, defaulting to the current month. Use the arrows to move to previous or next months.
Status filteringA row of status buttons appears on each tab, with “All” selected by default. Click any status to narrow the view instantly.
Advanced filtersClick the filter icon for options tailored to each tab – Leave: multi-select Type filter with search and “Select all”. Benefits & Expenses: filter by status and type. Timesheet: filter by Project. Documents: filter by Initiator.
SearchSearch by Employee ID, Employee Name, or the tab’s own type field. Results update automatically as you type. Search is scoped to the active tab.
Excel exportEvery tab exports to XLSX in one click. The export includes a header noting the period, who generated it, and any filters that were applied.

Important to know

This is a view-only screen. All approve and reject actions continue to happen in each module’s existing workflow. Workflow Requests is built for visibility, oversight, and reporting – not for taking action on requests.
Enablement required per entity. This feature must be switched on for your account first via Back Office, per legal entity. If you don’t see it in your PAC sidebar, contact your account manager or Mercans consultant to enable it.
Pro tip: For monthly leadership reporting, apply your period and filters once, then export each of the four tabs in sequence. You’ll have a complete period-view of employee request activity ready to share in minutes.
Pro tip: The export always matches what’s currently on screen – no filters means every request for the period is included; applied filters mean only the filtered rows are exported. Use this to prepare focused reports (e.g. only “Rejected” requests for a compliance review) without additional cleanup.

Users without one of these three roles will not see the menu item at all.

Common questions

Can I approve or reject a request from Workflow Requests? No – this screen is view-only. Use each module’s own approval flow to take action.

Why is the Approval column sometimes blank on the Leave tab? If a Leave request was approved directly by an Admin rather than through a manager’s approval step, there’s no manager to show in the Approval column. This is expected behaviour.

Why does my period reset when I switch tabs? Each tab keeps its own period independently. Switching tabs always opens on the current month for that tab.

Why is the Export button greyed out? The export button is only active when there’s at least one matching row. Empty periods or filter combinations with no results will disable the export icon.
